ICAP Recruitment Solutions on behalf of its client, an international shipping company, is seeking for a driven and qualified Personal Assistant to join them.

Personal Assistant (Ref. code 4336/PA/RS/GR)

Principal accountabilities:

  • Operating as liaison between the CEO and the team, coordinating and reporting the status of all projects.
  • Coordinating and organizing diary and appointments of the CEO by scheduling meetings, ensuring notice goes out to all attendees, booking facilities and meeting rooms and ensuring they are properly equipped (for example with video conference equipment).
  • Planning, coordinating and ensuring that the CEO's schedule is followed and respected.
  • Supervising and implementing several operational procedures (Expense Reports, Purchase Orders, Petty Cash report, etc.).
  • Devising and maintaining office systems, including data management and filing.
  • Producing documents, briefing papers, reports and presentations for the CEO.
  • Managing travel arrangements, visas and accommodation.
  • Providing Executive-level administrative support.
  • Researching, prioritizing, and following up on incoming issues and concerns, including those of a sensitive or confidential nature.

Job Requirements

  • Bachelor’s degree would be considered a plus
  • More than 3 years of experience as a Personal Assistant or Executive Secretary
  • Previous experience in a similar role within the maritime would be considered as a plus
  • Excellent command of the English language
  • Exceptional written and oral communication skills
  • Excellent word processing and IT skills
  • Good organizational and time management skills
  • Flexibility and adaptability to juggle a range of different tasks
  • Discretion and an understanding of confidentiality issues.
